How do I get a quote?
Getting a quote is easy! Simply contact our team by phone, email, or through the quote request form on our website. We’ll ask for your event date, location, estimated guest count, and what you’re looking to rent. If you’re not sure exactly what you need yet, don’t worry – we’ll help recommend the right rentals based on your event, property, budget, and vision.
How much does it cost to rent a tent?
Tent rental pricing depends on the size and style of the tent, your event location, installation requirements, and any accessories you choose, such as lighting, flooring, or sidewalls. As a general guideline, backyard party tent rentals typically range from $750–$2,000, while wedding tent rentals often range from $5,000–$25,000+, depending on the size and complexity of the event.

Why does tent rental cost more than buying a tent on Amazon?
A pop-up canopy and a professionally installed event tent are designed for completely different purposes. Commercial event tents are engineered for safety, built with heavy-duty materials, professionally installed by experienced crews, and designed to accommodate dozens or even hundreds of guests. When you rent a tent, you’re paying for much more than the tent itself—you’re investing in quality equipment, professional installation, transportation, maintenance, insurance, and peace of mind.
What’s included in my quote?
Every proposal includes the rental items you’ve selected, pricing, photos and descriptions of each item, delivery or customer pickup information, labor (when applicable), damage waiver information, and permit requirements if needed. If we’ve discussed a layout for your event, we’ll often include that as well. Our goal is to provide a clear, detailed proposal so you know exactly what you’re receiving before you book.
Are there any hidden fees?
No. We believe in transparent pricing.
Every event is different, so costs such as delivery, labor, permits, or specialty installation may vary depending on your event and location. Rather than surprising you later, we include these costs in your proposal whenever possible so you know exactly what to expect before reserving your rentals.
Can I see your rental equipment before I book?
Yes. You can visit our showroom before booking!
Whether you’d like to compare chair styles, see linen colors, or simply get a better feel for the quality of our inventory, we’re happy to schedule a visit. We recommend calling ahead so we can make sure the items you’d like to see are available and someone from our team is ready to assist you.
How do I reserve my order?
Once you’re ready to move forward, simply let us know! We’ll send you a reservation link through our online rental system where you can review your proposal, sign your contract electronically, and pay your deposit online.
Please note that receiving a quote does not reserve your rentals. Your equipment is officially reserved once we’ve received your signed contract and deposit.

Can I make changes after I’ve booked?
Absolutely! In fact, it’s very common.
Guest counts change, layouts evolve, and rental needs often shift as your event gets closer. As long as changes are made within the timelines outlined in your contract and the requested inventory is still available, we’ll do our best to accommodate them.
Do you require a deposit?
Yes. A signed contract and deposit are required to reserve your rentals. Until then, your event date and equipment remain available for other customers.
If you’re planning an event during our busy season, we recommend booking early to ensure the best availability.
What payment methods do you accept?
We accept all major credit cards through our secure online reservation system. While a credit card is required for a deposit, we do accept checks for final payment as long as it’s received prior to delivery. If you have questions about payment options or need assistance with your payment, our office is always happy to help.
Choosing the Right Tent
What size tent do I need?
Guest count is the biggest factor when determining tent size, but it isn’t the only one. We’ll also consider your seating layout, dance floor, bar, buffet, entertainment, and any additional rentals that will be under the tent. The more information you can provide, the better we can recommend a tent that fits your event comfortably. The available space on your property is another major factor.

Which tent style do you recommend?
There’s no one-size-fits-all answer. The best tent for your event depends on your property, budget, guest count, and the overall look you’re trying to achieve. For example, sailcloth tents are a favorite for weddings because of their elegant appearance, while frame tents work well on properties where staking isn’t possible.

What’s the difference between a canopy tent, sailcloth tent, frame tent, and structure tent?
Each tent style has its own advantages.
- Canopy tents are a classic choice for backyard parties and many outdoor events.
- Sailcloth tents feature translucent fabric and beautiful wooden center poles, making them one of the most popular options for weddings.
- Frame tents don’t have center poles and can be installed on pavement or other areas where staking isn’t possible.
- Structure tents are engineered for large, complex events and can support elaborate lighting and décor.

Will a tent fit in my backyard?
In most cases, yes! Every property is different. If you’re unsure whether a tent will fit, we may recommend scheduling a site visit after reviewing photos and aerial views of the property.
At a site visit, we’ll evaluate the available space, access for our installation crew, overhead utilities, trees, slopes and any other obstacles before recommending the best tent size and location. In many cases, we’re able to find a solution that works—even if it’s different from what was originally planned.

How much room do I need around a tent?
Every tent requires additional clearance beyond its actual footprint.
As a general guideline:
- Canopy tents require 10 feet of additional space.
- Sailcloth tents require 12 feet of additional space.
- Frame tents require 5 feet of additional space.
- Structure tents often require additional clearance depending on the design and installation method.
We’ll help determine the exact space requirements based on the tent style you’re considering.
Can I have two tents connected?
Yes, but it depends on the type of tents you’re using.
If you’re looking to create one larger tented space, frame tents can be connected together. Traditional canopy tents or sailcloth tents, on the other hand, cannot be connected in the same way. If you’re trying to connect two separate spaces—such as a reception tent and a cocktail tent—we can often use a marquee tent to create a connection between them.

Site & Installation
Do I need a site visit?
Not every event requires a site visit, but they’re great for larger weddings, corporate events, festivals, or properties where space, access, or tent placement may be a concern. During a site visit, our crew measures the installation area, looks for overhead wires, trees, slopes, vehicle access, and other logistical considerations to make sure your event goes smoothly.

Can tents be installed on pavement?
Yes! Frame tents, clear top tents, and structure tents can be installed on pavement using engineered ballast systems when staking isn’t possible. The best installation method depends on the tent style, your property, and local permitting requirements.

Can tents be installed on uneven ground?
Yes, as long as the ground isn’t excessively sloped. A good rule of thumb is this: if you can comfortably sit in a chair without feeling like you’re sliding out of it, the area is probably suitable for a tent. If you feel like you’re going to tip over, it’s likely too steep.
Minor unevenness can often be addressed before installation, and for more formal events, leveling the ground beforehand will create a much better guest experience. We also offer flooring options for certain situations.
Can tents be installed on a driveway?
Yes! Many driveways can accommodate a tent, provided there’s enough space and the appropriate installation method is used. Frame tents are often the best choice for driveways because they can be ballasted instead of staked.
Can you install a tent over a pool?
Sometimes—but it’s much more complex than a standard tent installation.
Installing a tent over a swimming pool requires specialized equipment, additional labor, custom tenting, and careful planning to ensure the tent can be installed safely. Because of the complexity involved, it’s significantly more expensive than a typical tent installation, and it’s not a service we regularly offer.
If you’re considering a tent over a pool, please contact our team early in the planning process so we can discuss your event and determine whether it’s a good fit.
Can a tent be attached to my house?
Not directly. However, we can often position a tent very close to your home or use smaller frame tents or marquee walkways to create a covered connection between your house and the main tent.
Do I need a tent permit?
In most cases, yes. While permit requirements vary by municipality, we recommend assuming your tent will require a permit until we’ve confirmed otherwise.
For the vast majority of our events, Baystate handles the permitting process on your behalf. We prepare the required paperwork, submit the permit application, coordinate with the local building department, and schedule inspections when required. Our goal is to make the process as simple and stress-free as possible while ensuring your tent meets all local building and fire code requirements.

Can tents damage my lawn?
Our tents are installed every day on residential lawns. Our tents won’t damage your lawn under normal conditions. When a tent is staked, the stakes will leave small holes in the ground, but these are temporary and typically disappear quickly with normal lawn growth.
How long does it take to install a tent?
Installation time varies depending on the tent size, tent style, property conditions, and the complexity of the event. A small backyard tent may take about an hour to install, while a large wedding tent can take an entire day. Structure tents often require one to two days for installation.

Weather & Seasonal Use
What happens if it rains on my event day?
Don’t panic! Tents are designed to keep your event going, rain or shine.
If rain is in the forecast, we’ll often recommend adding sidewalls to help keep wind-driven rain out and keep your guests comfortable. Every event is different, so if you’re concerned about the weather leading up to your event, don’t hesitate to reach out. We’re happy to discuss your options.
Are rental tents waterproof?
Yes! All of our tents are waterproof and designed to protect your guests from the rain.
That said, sidewalls may be recommended depending on the forecast. While the tent roof keeps rain out from above, wind-driven rain can still enter through the open sides if sidewalls aren’t installed.
Are tents safe in high winds or thunderstorms?
Safety is always our top priority. Our tents are professionally installed using engineered anchoring or ballast systems designed for the specific tent and site conditions. However, no temporary structure should be occupied during severe weather, including high winds, thunderstorms, or other dangerous conditions.

Can tents be heated?
Yes! All of our tents can be heated using tent heaters designed specifically for temporary event structures. If you’re planning to heat your tent, sidewalls are required to help retain the heat and keep your guests comfortable. While all of our tents can be heated, not every tent is designed for snow loads, so winter events should be discussed with our team during the planning process.
Can tents have air conditioning?
Yes! All of our tents can accommodate air conditioning. While Baystate doesn’t provide air conditioning units, we’re happy to work with your HVAC rental company during the planning process. For air conditioning to be effective, the tent must be enclosed with sidewalls.
If air conditioning isn’t in your budget, fans are another great option for improving airflow and keeping guests comfortable during the summer months.
Can tents be used during the winter?
Yes, but it depends on the type of tent and the weather conditions. Many winter events are successfully held under heated tents, but not every tent is designed for snow loads. If you’re planning a winter wedding, holiday party, or corporate event, we’ll recommend the appropriate tent style based on the season, expected weather, and your event needs. Structures and frame tents are the way to go in the winter!
Can you install a tent in the rain?
Yes. We install tents rain or shine. Rain and extreme heat can slow down installation, but they typically won’t stop it. For the safety of our crew, however, we will delay installation during lightning or dangerous wind conditions until it’s safe to continue.
Wedding Planning
What type of tent do you recommend for weddings?
Every wedding is different, so there isn’t one “best” tent for every couple.
Sailcloth tents are one of our most popular choices for weddings thanks to their timeless look and beautiful translucent fabric, while frame tents offer more flexibility for certain properties. Structure tents are ideal for larger weddings or events requiring elaborate lighting, draping, air conditioning, or other specialty installations.

Can you help design my wedding tent layout?
Absolutely! One of the most common requests we receive is help creating a wedding tent layout.
We’ll work with you to determine the best tent size and layout based on your guest count, seating style, dance floor, bars, catering, entertainment, and overall vision. We often create multiple layout options so you can compare different configurations and choose the one that works best for your event.

How many people fit under a tent?
There isn’t a one-size-fits-all answer. It depends on much more than just your guest count.
The number of guests a tent can accommodate varies based on whether you’re serving a plated dinner or buffet, if you’re including a dance floor, bars, lounge furniture, entertainment, and other rentals. That’s why we don’t recommend choosing a tent based solely on a generic seating chart.
Our team can help determine the right tent size based on everything you plan to include.
How many bars do I need?
The right number of bars depends on your guest count, bar package, and how quickly you’d like guests to be served.
For smaller events, one bar is often enough. Larger weddings and corporate events typically benefit from two or more bars to help reduce lines and improve guest flow. During the planning process, we’ll recommend a setup that makes sense for your event. For example, if you have three bartenders, a double bar is perfect.
Lighting, Décor & Power
Can tents have chandeliers?
Yes! All of our tents can accommodate chandeliers.
For more elaborate installations, such as large crystal chandeliers or multiple fixtures, frame tents and structure tents typically offer the most flexibility. Structure tents, in particular, can support the heaviest lighting and décor installations. We frequently work directly with florists, lighting companies, and décor teams.

Can I hang decorations from a tent?
Yes! Greenery, floral installations, string lighting, signage, draping, and many other decorative elements can be hung from our tents.
The type and amount of décor that can be hung depends on the tent style. Larger installations may require a frame or structure tent, while lighter décor can often be accommodated in any of our tents. If you’re planning to hang décor, simply let us know during the planning process so we can recommend the best approach.
Can I decorate the tent myself?
Absolutely! You’re welcome to decorate your tent however you’d like, provided the decorations don’t damage or permanently alter the tent. We simply ask that all décor be removed before our crew arrives for pickup. If you’re unsure whether something can be attached to the tent, just ask—we’re always happy to help.
How much weight can be hung from a tent?
It depends on the tent style and what you’re planning to hang.
Simple greenery and string lighting can typically be accommodated in any of our tents. Larger floral installations, lighting trusses, disco balls, speakers, or multiple chandeliers require more planning and may only be suitable for certain tent styles—particularly structure tents.
If you’re planning to hang anything from your tent, let us know in advance.
Do I need a generator for my wedding?
Maybe. Many smaller backyard events can plug into existing household power, but larger weddings often require a generator to safely power catering equipment, lighting, entertainment, HVAC, toilet trailers and other vendors. Because every wedding is different, we recommend asking each vendor for their electrical requirements. We don’t currently provide generator rentals, but we’re happy to recommend trusted companies we’ve worked with.
Tables, Chairs & Accessories
How many people fit at a table?
The number of guests a table can comfortably seat depends on the table size and chair style.
As a general rule, we recommend seating 8-10 guests at a 5′ round table or 8′ banquet table and 6-8 at a 4′ round or 6′ banquet table. If you’re unsure which tables are right for your event, we’re happy to help.

What’s included with a tent rental?
The tent rental itself includes the tent. Delivery, pickup, labor, sidewalls, lighting, flooring, heating, and other accessories are quoted separately based on your event. Because every event is different, the best way to understand exactly what’s included is to request a customized quote.
Can tents have flooring?
Yes! Flooring is one of the most popular upgrades for weddings, corporate events, and other formal occasions. It creates a more comfortable walking surface, helps protect against wet ground, and provides a finished look for your event. We offer both full flooring and dance floors depending on your event and needs.
Can I rent just tables and chairs?
Absolutely! While we’re known for our tent rentals, we also rent tables, chairs, linens, bars, dance floors, staging, and much more. Whether you need a complete tented wedding or just a few extra tables for a backyard party, we’re happy to help.
Do you offer table and chair setup?
Yes! We offer setup services for tables and chairs, allowing you to spend less time arranging furniture and more time preparing for your event. If you’d like setup included, simply let us know when requesting your quote.
