How Our Event Rental Process Works: From Quote to Event Day
If you’ve never rented event equipment before, you may be wondering how the event rental process works. What happens after you request a quote? When do you book? Can you make changes? When are your rentals delivered?
Whether you’re planning a wedding, graduation party, backyard celebration, corporate event, or festival, our event rental process is designed to be simple, organized, and stress-free. From tents, tables, and chairs to linens, dance floors, staging, and lighting, we’ll guide you through every step—from your first inquiry to delivery, setup, and pickup.

Our Process at a Glance
- Request a Quote: Tell us about your event, including the date, location, guest count, and the rental items you’re interested in.
- Receive Your Proposal: We’ll send a detailed proposal with pricing, photos, descriptions, delivery information, and any applicable labor or permit requirements.
- Review & Revise: Need to make changes? That’s completely normal. We’ll revise your proposal as your event details come together.
- Site Visit (If Needed): For larger or more complex events, we’ll evaluate the property and confirm logistics before moving forward.
- Reserve Your Order: Sign your contract and submit your deposit online to officially reserve your rentals.
- Finalize the Details: We’ll confirm guest counts, layouts, logistics, and any final changes before your event.
- Delivery & Installation: Our crew delivers and installs your rentals according to the agreed-upon schedule.
- Enjoy Your Event! Celebrate knowing your rentals are ready to go. If anything unexpected comes up during your rental period, we’re here to help.
- Pickup: Once your event is over, we’ll return to pick everything up—or you’ll return customer pickup items if applicable.
How Does Our Event Rental Process Begin?
Getting started is easy! You can contact us by phone, email, through the inquiry form on our website, or by filling out an event specific form.
To prepare an accurate proposal, we’ll typically ask for:
- Event date
- Event address
- Estimated guest count
- Type of event (wedding, graduation, corporate event, fundraiser, backyard party, etc.)
- The rental items you’re interested in
Don’t worry if you don’t have every detail finalized yet. We can always make adjustments as your plans evolve!
Once we have the information we need, we’ll prepare your proposal as quickly as possible. If you contact us by email or through our website, we’ll usually respond the same way. If you call us, we’re happy to discuss your event over the phone.
For weddings and larger corporate events, we almost always recommend a phone consultation. These events tend to involve more logistics, and it’s often the easiest way to discuss layouts, tent options, timelines, and your overall vision.

What’s Included in an Event Rental Quote?
We want you to know exactly what you’re renting before you book! Every proposal includes photos and descriptions of each rental item so you can easily visualize what you’re ordering. Your proposal will also include:
- Rental pricing
- Delivery or customer pickup information
- Labor charges (when applicable)
- Damage waiver information
- Permit requirements (if applicable)
- Tent layouts (when discussed or requested)
Our goal is to provide as much information as possible upfront so there are no surprises later!
Can I Make Changes After Receiving My Quote?
Absolutely.
In fact, it’s completely normal for your proposal to evolve as your event comes together. Guest counts change, budgets change, rental needs change.
Whether you’re adding accessories, upgrading your tent, adjusting your layout, or simply adding a few more tables, we’ll continue updating your proposal until you’re ready to book.

Do I Need a Site Visit?
Not every event requires a site visit, but they’re often recommended for larger weddings, festivals, corporate events, or properties where space, access, or tent placement may be a concern.
Once we have a good understanding of your rental needs, we’ll let you know if a site visit makes sense for your event.
Our crew will evaluate the property, take measurements, and identify any logistical considerations that could affect the installation.

How Do I Reserve My Rentals?
Once you’re happy with your proposal, we’ll send you a secure link to review your contract, sign electronically, and submit your deposit online.
At that point, your rentals are officially reserved.
Before signing, we always encourage clients to carefully review their proposal to ensure every detail is correct. If something needs to be updated, just let us know.
Changes can typically still be made after booking according to the terms outlined in your contract.
What Happens Before My Event?
As your event approaches, we’ll work with you to finalize the remaining details.
Final guest counts are generally due about 30 days before your event so we can prepare everything accurately.
Approximately 3–7 days before your scheduled delivery, our dispatch team will contact you with your scheduled delivery date and any final logistics.
If your guest count or rental needs change, please let us know as soon as possible. If we don’t hear from you, we’ll assume the most recently approved quantities are correct.
What Happens on Delivery Day?
On delivery day, our crew will call when they’re on the way.
If your order includes installation, we’ll set everything up according to the approved layout and ensure everything is ready before your event begins. We also offer optional table and chair setup services if you’d like an extra hand.
Our goal is simple: arrive prepared, work efficiently, and leave you ready to celebrate.

What Happens After My Event?
Once your event has ended, our crew will return to pick up your rental equipment.
Unless otherwise noted in your contract, pickups are not scheduled for a specific time, so we ask that all rental items be returned to the agreed-upon pickup location and cleared of decorations, food, trash, and personal belongings.
If you picked up your rentals from our warehouse, simply return them during your scheduled return window.
If anything unexpected comes up during your rental period, our team is available through our 24/7 emergency line to assist.
