What to Know About Event Tent Rentals
Planning an outdoor event? Renting a tent is one of the best ways to create a comfortable, functional space for your guests, whether you’re hosting a backyard graduation party, wedding, corporate event, or festival.
But there’s a little more to renting a tent than choosing a size and picking a date!
From your guest count and available space to your budget and the unpredictable New England weather, a few important details can make a big difference in your event setup.
At Baystate Tent & Party, we’ve been helping customers plan tented events for decades. Here are some of the most important things to consider before renting a tent for your next event.

TL;DR: What Should You Know Before Renting an Event Tent?
Before renting an event tent, consider your guest count, layout, available installation space, ground surface, weather, and budget. It’s also important to choose the right tent style, book early, and understand delivery and installation requirements. Working with an experienced rental company can help you determine what works best for your event.
1. Choosing the Right Tent Size
One of the first things to consider when renting an event tent is how many guests you’re expecting. But your guest count is only part of the equation!
A tent for 100 guests at a standing cocktail party will look very different from one accommodating 100 guests for a seated dinner.
You’ll also want to think about everything going underneath your tent, including:
- Tables and chairs
- Buffet tables and food stations
- Bars and beverage areas
- Dance floors and entertainment
- Staging or additional event equipment
The more you plan to include, the more space you’ll need. That’s why we always recommend thinking about your overall layout before settling on a tent size.

2. Make Sure Your Space Can Accommodate a Tent
Here’s something people don’t always realize: just because a tent is 40′ × 60′ doesn’t mean it can fit in a space measuring exactly 40′ × 60′.
Depending on the style, tents may require additional room for stakes, ropes, and proper anchoring. For example, sailcloth tents typically require approximately 12 feet of additional space around the perimeter.
You’ll also need to consider the ground surface, slope, trees, fences, overhead wires, and any other obstacles that could affect installation.
Frame tents offer more flexibility for certain locations, including pavement and tighter spaces, but they still need proper anchoring.
Our advice? Before requesting a quote, take a few measurements and photos of your event space. If you’re unsure whether a tent will fit, our team can help determine your options. For more complicated locations, a site visit may be the best place to start.
3. Different Tent Styles Have Different Benefits
Not all event tents are the same, and the style you choose can affect everything from the overall appearance to the installation requirements and cost.
For example, a traditional canopy tent is a popular choice for casual backyard parties, while a sailcloth tent offers a more elegant look for weddings and formal celebrations. Frame and structure tents provide additional flexibility for certain event layouts and locations.
At Baystate Tent & Party, we offer a variety of tent styles to accommodate different events, spaces, and budgets.

4. Plan for the Weather, Not Just the Rain
One of the biggest benefits of renting a tent is having a designated space that provides shade and protection from typical rain conditions. But when you’re planning an outdoor event in New England, there’s more than just rain to consider!
A hot July afternoon might call for fans or additional ventilation, while a chilly October evening could make heaters and sidewalls worth considering.
Think about the time of year, time of day, and how long your guests will be under the tent.
And while tents provide valuable weather protection, they’re not safe shelters during severe storms or dangerous winds. Having a weather backup and safety plan is always important.
Our advice: Don’t wait until the week of your event to start thinking about weather accessories. Planning ahead gives you more options and helps avoid last-minute surprises.
5. Set a Budget and Understand Your Tent Rental Quote
Tent rental prices can vary quite a bit, even between tents of the same size.
The style of tent, installation location, delivery distance, and additional equipment can all affect your overall rental cost.
When establishing your event budget, remember to account for more than just the tent itself. Depending on your event, you may also need tables and chairs, linens, lighting, flooring or a dance floor, or heating.
And when comparing quotes from different rental companies, make sure you’re comparing similar products and services.
A standard canopy tent and a luxury sailcloth tent might have the same dimensions, but they’re two very different products!
You’ll also want to understand what’s included in your quote, such as delivery, installation, removal, permits, and other applicable charges.
Our advice: Share your budget with your rental company early. We can help you understand your options and prioritize the rentals that matter most to your event.
6. Book Early and Understand the Installation Timeline
If you’re planning an event during New England’s busy season, booking your tent in advance is one of the best things you can do.
Graduation season, summer weddings, and fall events are especially popular, and certain tent sizes and styles can book up well ahead of time.
You don’t need to have every detail figured out before requesting a quote. Having your date, location, approximate guest count, and general event plans is a great starting point.
It’s also important to understand how installation works.
At Baystate, our typical delivery and installation schedule runs Wednesday through Friday, with pickups Monday through Wednesday. This often gives customers extra time to prepare their space before the event.
Depending on your tent size and location, permits, Dig Safe utility markings, and additional installation planning may also be required.
If you’re working with a venue, make sure to confirm when your rental company can access the property and when everything needs to be removed.
