What size tent do I need?

Most events need more room than the guest count alone suggests, because tables, a dance floor, a DJ or band, a bar and a food area all take space. These are the typical sizes from our tent guides:

For 100 guests, a 40×60 (2,400 sq ft) is our most popular choice. Go to a 40×80 for lounge seating, a photo booth or more than one bar. See the 100-guest wedding tent guide and our Size Guide for tables, linens and dance floors.

Where can the tent go?

Surface Frame tents Canopy tents Sailcloth tents
Grass or dirt Yes, staked Yes, staked Yes, staked
Asphalt or pavement Yes, with concrete ballast blocks Typically no. Only if stakes can penetrate (leaves holes) No
Concrete, patio, brick Yes, with ballast blocks No No
Deck or pool area Sometimes. Send photos No No

Tents cannot go on septic leaching fields. Mark sprinkler lines and other underground utilities before install. Hard-surface installs usually cost more than grass because of the ballast and trucking. More in Can tents be installed on pavement or patios?

Booking, permits and delivery

  • Book early. Six to twelve months ahead for April–June and August–October events, and three to six months for other months. Once a size or style is booked for a date, we can’t duplicate it. See When to book a tent rental.
  • Permits. In Massachusetts, any tent over 400 square feet needs a permit. We can pull permits for a $250 administrative fee plus the town’s fees. Nearly every New Hampshire town has the same 400-square-foot rule. See tent permits.
  • Delivery. Standard delivery starts at $90–$180 depending on your location in our service area. Out-of-area delivery is quoted by request. Weekend rentals are delivered Wednesday to Friday and picked up the following Monday to Wednesday. Deliveries run rain or shine.

Tent rental questions

What types of tents does Baystate Tent rent?

We rent canopy (pole) tents, sailcloth tents, clear top frame tents, High Peak and QuickTrack frame tents, and structure tents for weddings, corporate events, graduations, festivals and backyard parties in Massachusetts and New Hampshire.

What’s the difference between a pole tent and a frame tent?

A pole tent has center poles and is anchored with ropes and stakes, so it needs about 10 extra feet around the edge. A frame tent has no center poles or tension ropes, leaving the interior open, and it can be weighted with concrete blocks on pavement.

Can you put a tent on pavement, a patio or a deck?

Yes, with a frame tent. We anchor frame tents with concrete ballast blocks instead of stakes. A canopy tent can go on pavement only if stakes can penetrate it, which leaves holes, and sailcloth tents need grass or dirt. For decks and pool areas, send photos and measurements.

How much space do I need around the tent?

Frame tents need 5 extra feet on all sides, canopy tents 10 feet and sailcloth tents 12 feet. A 20×20 canopy tent, for example, needs a clear, flat unobstructed 30×30 area.

How many guests fit under a tent?

We plan 15 square feet per seated guest at tables and 5 square feet per standing guest. A 20×20 tent seats about 26 or holds 80 standing, a 30×30 seats 60 or holds 180, and a 40×60 seats 160 or holds 480. This is for seating/standing room only and does not consider additional needs such as dancefloor, band, food buffet, bar, etc.

What size tent do I need for 100 guests?

A 40×60 tent (2,400 sq ft) is the most popular size for 100-guest weddings. It fits tables, a dance floor, a DJ or band and a food area. Choose a 40×80 if you want a photo booth or more than one bar.

How far in advance should I book a tent?

Book six to twelve months ahead for April–June and August–October dates, and nine to twelve months for prime June Saturdays. For other months, book three to six months ahead. The earlier the better!

Do I need a permit for a tent?

In Massachusetts, any tent over 400 square feet needs a permit. Nearly every New Hampshire town has the same 400-square-foot rule. We can handle permits for a $250 administrative fee plus the town’s permit fees. Rules vary, so we always confirm with local building and fire departments.

How much does a tent rental cost?

It depends on tent type, size, surface and add-ons. As of October 2026, canopy tents start at $340 (20×20), sailcloth tents at $995 and clear top frame tents at $1,350, tent only. Sidewalls, flooring, lighting and installation logistics change the final price. See our price guide or contact us for a personalized quote!

Does Baystate Tent set up the tent?

Yes. Our crew delivers and installs every tent.
