When to Book a Tent Rental (Month-by-Month Guide)

If you’re planning an outdoor event, one of the first questions you’ll ask is: When should I book a tent rental?

The answer depends on the month of your event. Some months require booking 6–12 months in advance. Others allow a 3–6 month window. But one rule stays the same:

The earlier you reserve your tent, the better your options!

TLDR – Tent Rental Booking Timeline

  • April, May, June, August, September, October: Book 6–12 months in advance
  • July, November, December, January, February, March: Book 3–6 months in advance
  • June and September are historically the busiest months
  • Holiday weekends book earlier than average
  • Inventory is limited. Once it’s reserved, it’s gone!

If you have your date secured, reserve your rentals.

Wondering when to book a tent rental? Learn the ideal booking timeline by month, including peak wedding, graduation, and festival seasons, so you can reserve early and avoid sell-outs.

Why Timing Matters

Tent companies carry limited inventory. There are only so many tents, tables and chairs. Things like our cross back chairs and clear top tents sell out quickly for summer and fall events!

Once a specific size or style is booked for a date, it cannot be duplicated.

Now layer in:

  • Graduation parties
  • College commencements
  • Nonprofit walks and fundraisers
  • Food festivals
  • Corporate summer events
  • Weddings

The overlap is real. And it fills calendars quickly!

April, May & June – Book 6–12 Months in Advance

Spring into early summer is one of the busiest stretches of the year.

Here’s why.

April & May Bring:

  • College commencements
  • High school proms
  • Early graduation parties
  • Nonprofit walks and fundraising events
  • Spring festivals
  • Memorial Day weekend events

According to SoFi, approximately 4.7 million people earn a degree in the United States each year, with Vermont, Massachusetts, New Hampshire, and Rhode Island in the top 4 slots of completion rate. Furthermore, according to the New England Board of Higher Education, approximately 140,000 to 170,000 students graduate from high school annually in New England, and Massachusetts alone produces over 65,000 of these graduates. Most graduation celebrations happen in May and June. You know what this means…book early!

June Is Peak Season

June is one of the most competitive months for tent rentals. In one month we see most of our events happen! June consistently ranks among the top wedding months in New England. When graduations and weddings share Saturdays, inventory tightens quickly! Types of events include:

  • High school graduations
  • College commencements
  • Graduation parties
  • Weddings
  • Fundraising galas
  • Community festivals

Recommendation:
For April, May, and June events, plan to book your tent 6–12 months in advance. For prime June Saturdays, 9–12 months is safest.

July – Book 3–6 Months in Advance

July is still busy, but it’s more flexible. Many families travel in July and vacations spread events out. That softens demand slightly compared to June and September. The exception is Fourth of July weekend. That books early every year. Outside of major holiday weekends, July usually allows a 3–6 month booking window. But availability is never guaranteed!

You’ll still see:

  • Backyard weddings
  • Family reunions
  • Fourth of July celebrations
  • Summer parties

August, September & October – Book 6–12 Months in Advance

Late summer and fall are prime event season. September has become one of the most popular wedding months in the U.S. In recent years, it has ranked #1 in some national wedding surveys.

  • Peak wedding season
  • Cultural festivals
  • Backyard celebrations
  • Corporate events
  • Fall festivals and harvest events
  • Fundraisers

October continues to grow because of:

  • Fall foliage
  • Cooler temperatures
  • Rustic outdoor venues

In New England especially, September and October sell out quickly. And fall events often require more:

  • Lighting (shorter daylight hours)
  • Sidewalls
  • Flooring
  • Heating considerations late in October

That adds demand to specialty inventory.

Best practice: Book 6–12 months in advance for August, September, and October events.

November Through March – Book 3–6 Months in Advance

Late fall and winter tend to be more flexible.

You’ll typically see:

  • Corporate holiday parties
  • Heated backyard gatherings
  • Winter markets
  • Smaller weddings
  • Community winter events

Because outdoor tent events are less common in colder months, availability is generally better. However, winter tenting requires more logistics:

  • Heaters
  • Solid sidewalls
  • Flooring
  • Power planning

So while demand may be lower, planning still matters. For November through March, a 3–6 month timeline is usually ideal. Thanksgiving and December holiday weekends should be reserved earlier.

How Far in Advance Should You Book a Tent?

Here’s the direct answer:
You should book your tent rental 6–12 months in advance for peak season events and 3–6 months in advance for off-peak months.

If your event falls on:

  • A holiday weekend
  • Graduation weekend
  • Peak wedding season

Book early. You can always adjust your order once it’s booked!

What Happens If You Wait Too Long?

You may face:

  • Limited tent size options
  • Fewer table and chair options
  • Full calendar sell-outs & no availability

Every season, we have to turn away events because specific weekends are fully booked. And once inventory is reserved, it cannot be duplicated.

Final Advice

The best time to book a tent rental is as soon as you have your event date and location secured. You don’t need every detail finalized. Guest counts can shift. Layouts can evolve. Rentals can be adjusted. But securing your date protects your options.

If you’re planning an event and want to understand availability for your month, reach out early. Even if your event is a year away.

Because in peak season, waiting is the biggest risk.
