Outdoor Summer Event Guide: 7 Tips for Planning a Successful Summer Celebration

Summer in New England is made for outdoor events! From backyard birthday parties and family reunions to company picnics, graduation celebrations, and community festivals, there’s no shortage of reasons to get everyone together outside.

But planning an outdoor summer event comes with a few challenges. Hot temperatures, unpredictable weather, mosquitoes, and busy event weekends can all make things a little more complicated.

At Baystate Tent & Party, we’ve been helping customers plan outdoor celebrations for decades. Over the years, we’ve learned a thing or two about what makes a summer event successful!

Here are seven of our favorite tips for keeping your guests comfortable, your event organized, and your summer celebration running smoothly.

TL;DR: Tips for Planning an Outdoor Summer Event

  • Beat the heat: Provide shade, fans, and plenty of cold drinks to keep guests comfortable.
  • Choose the right rentals: Consider your guest count, event layout, and space when selecting tents, tables, and chairs.
  • Don’t forget the ice! Buy more than you think you’ll need, especially on hot summer days.
  • Plan for bugs: Consider mosquito treatments or provide bug spray. Tent sidewalls won’t necessarily keep bugs out and can trap heat.
  • Create a fun atmosphere: Add summer-inspired décor, lighting, and activities your guests will enjoy.
  • Prepare for unpredictable weather: Have a rain plan and a safe indoor backup for severe storms.
  • Book early: Summer is a busy event season, especially during May and June graduations. Reserve your rentals well in advance!

1. Keep Your Guests Cool and Comfortable

One of the biggest things to consider when planning an outdoor summer event is the heat!

While everyone loves a beautiful sunny day, sitting outside in 90-degree weather isn’t always enjoyable, especially when guests are dressed up or spending several hours outdoors.

Providing shade should be one of your first priorities. Tent rentals are a great way to create a shaded gathering space while also offering protection from typical summer rain.

Depending on your event, you might also consider fans to help circulate air, plenty of cold drinks, and shaded areas where guests can take a break from the sun.

A tip from our team: Be careful about adding tent sidewalls just to keep bugs out! Sidewalls don’t necessarily prevent mosquitoes and other insects from entering, and they can trap heat and reduce airflow on a hot summer day. Unless weather conditions call for them, keeping your tent open can make a big difference in guest comfort.

2. Choose the Right Tent and Event Layout

Before selecting a tent, think about how you want your event to function.

Are guests sitting down for a meal? Will there be buffet tables, a bar, or a dance floor? Are you hosting a casual company picnic where guests will be moving between different activities?

All of these details affect how much space you’ll need.

For example, a seated graduation party with round tables and chairs will require a different layout than a standing cocktail-style event.

You’ll also want to make sure your yard or venue has enough room for the tent itself, along with any additional space needed for proper anchoring.

If you’re not sure what size tent you need, take a few measurements, estimate your guest count, and reach out to our team. We’re happy to help you explore your options!

3. Plan a Summer-Friendly Menu and Don’t Forget the Ice!

Food and drinks are a big part of any celebration, but summer temperatures add a few extra considerations.

For outdoor events, think about foods that are easy to serve and enjoy outside. Buffets, food stations, and casual picnic-style meals are all popular options.

Make sure you have a plan for keeping perishable foods at safe temperatures, particularly if your event will last several hours.

And of course, don’t forget about drinks!

Water, lemonade, iced tea, and other refreshing beverages are always welcome on a hot day. Setting up a designated drink station with cocktail tables or banquet tables can make it easy for guests to help themselves throughout the event.

Our biggest summer party tip? Buy more ice than you think you’ll need!

Seriously. Between keeping beverages cold, filling coolers, and replenishing ice throughout the day, it’s amazing how quickly you can go through it.

Running out of ice halfway through a hot July afternoon is one problem that’s easy to avoid with a little extra planning!

4. Create a Fun and Inviting Summer Atmosphere

One of the best things about summer events is that you can take advantage of the beautiful weather and natural surroundings.

Fresh flowers, colorful table linens, and comfortable seating can go a long way toward making your space feel welcoming!

If your event continues into the evening, consider adding bistro lighting to create a warm, inviting atmosphere once the sun goes down.

You can also incorporate activities that encourage guests to mingle and enjoy the outdoors.

Lawn games like cornhole, bocce, and giant Jenga are always popular for backyard celebrations and company picnics. For larger events, live music, entertainment, or designated activity areas can help keep guests engaged.

Just remember to leave enough room outside your tent for games and activities so your dining and gathering areas don’t feel crowded.

5. Have a Plan for Bugs and Mosquitoes

Here’s something that’s easy to forget until your guests start swatting mosquitoes: bugs!

If you’re hosting an outdoor summer event, especially in the evening or near wooded areas, it’s worth planning ahead.

Consider having your yard professionally treated for mosquitoes before the event, following the treatment provider’s instructions and allowing the appropriate time before guests arrive. You can also provide bug spray for guests who want it.

And remember, tent sidewalls aren’t a reliable solution for keeping bugs out. In fact, enclosing your tent on a hot summer day can make the space significantly less comfortable by limiting airflow.

If mosquitoes are a concern, we’d focus on prevention and guest comfort rather than trying to close off the entire tent.

It’s a small detail, but your guests will definitely appreciate it!

6. Prepare for Summer Rain and Thunderstorms

Summer weather can change quickly in New England. One minute it’s sunny, and the next you’re watching dark clouds roll in!

While a tent provides shade and protection from typical rain conditions, it’s important to have a plan for more serious weather.

Depending on your setup, sidewalls may be useful for wind-driven rain, and event flooring can help create a more comfortable surface if the ground is soft or damp.

However, tents are not safe shelters during severe thunderstorms, lightning, or dangerous winds. If severe weather is possible, have a safe indoor location available and be prepared to adjust your event plans.

Our advice? Check the forecast leading up to your event, but don’t wait until the last minute to think about your rain plan.

7. Plan Early — Especially During Graduation Season!

Summer is one of the busiest times of year for event rentals, and graduation season is particularly hectic!

Between backyard graduation parties, school commencements, weddings, corporate outings, and community events, a lot of people are planning celebrations around the same weekends.

Even if you’re hosting a smaller backyard party, don’t assume you’ll be able to find everything you need at the last minute.

Popular tent sizes, tables, chairs, and other rental items can book up well in advance, especially during May and June!

Our advice? Start planning as early as possible. Once you know your date, location, and approximate guest count, reach out to your rental company to secure the essentials.

It’s also important to understand the installation schedule. At Baystate, our typical deliveries take place Wednesday through Friday, with pickups Monday through Wednesday, giving customers time to prepare before their events.
