All Tents Look the Same…Until They Don’t

One of the most common questions we receive is:

“Why is your quote so higher than this other company’s?”

And honestly, it’s a fair question!

From the outside, most tents look pretty similar. They’re white. They provide shelter. They create a space for guests to gather. If you’re comparing quotes on paper, it’s easy to assume you’re looking at the exact same thing.

Sometimes you are.

A lot of times, you’re not.

After years of helping clients compare proposals from different tent companies, I’ve realized that many people don’t know what questions to ask, because quite frankly, why would they? Most people rent a tent once or twice in their lifetime. They’re planning a wedding, organizing a fundraiser, coordinating a corporate event, or hosting a graduation party. They’re focused on guest counts, layouts, and budgets—not engineering, permitting requirements, anchoring methods, insurance coverage, or installation standards.

That’s our job.

Are You Actually Comparing Apples to Apples?

One of the first things I look at when a client tells me another company is cheaper is whether they’re actually comparing similar products.

You’d be surprised how often they’re not.

A client may be comparing one of our Sailcloth Tents to a traditional canopy tent. Other times they’re comparing our QuickTrack Frame Tent to a West Coast Frame Tent. On paper they may appear similar because they’re both technically tents, but the quality, appearance, engineering, and installation requirements can be dramatically different.

The same thing happens with accessories.

  • Is lighting included?
  • Are sidewalls included?
  • Is delivery included?

What about permits, inspections, flooring, generators, heating, tables, chairs, or other items that were requested during the planning process?

When a quote comes in significantly lower than everyone else’s, it’s worth taking a step back and asking whether you’re truly comparing the same event.

Because sometimes the lower quote isn’t lower at all—it’s simply missing pieces.

The Things Clients Never See

One of the challenges in our industry is that many of the most important things don’t show up in event photos.

Nobody looks at wedding pictures and comments on the insurance policy.

Nobody compliments the engineering drawings.

Nobody notices the permitting process.

And that’s okay! Those things aren’t supposed to be the stars of the show. But they are part of what separates one tent company from another.

Insurance costs money. Experienced labor costs money. Maintaining a clean and well-maintained inventory costs money. Investing in newer products, training crews, replacing worn equipment, and maintaining a fleet all require significant investment behind the scenes.

These aren’t exciting line items, but they directly impact the client experience.

The best tent installations are often the ones nobody thinks about because everything simply works.

When Safety Becomes the Conversation

One of the biggest areas where companies differ is how they approach tent anchoring and ballast.

When staking isn’t possible due to pavement, utilities, underground infrastructure, or site restrictions, tents often need ballast. And not all ballast is created equal.

This is one area where shortcuts can have serious consequences.

We’ve seen companies use methods that simply don’t meet the standards necessary to safely secure a structure. Water barrels, for example, are prohibited in many jurisdictions and are widely recognized as an inadequate solution for many applications.

The reality is that large temporary structures require proper engineering, proper ballast, and proper installation. It’s not something to guess at, and it’s certainly not something worth cutting corners on.

At the end of the day, these aren’t just tents.

They’re structures standing over weddings, family celebrations, corporate events, fundraisers, school functions, and thousands of guests every year.

Experience Matters Most When Things Get Complicated

The funny thing is that everything can look perfect when conditions are ideal.

  • The weather is beautiful.
  • The site is straightforward.
  • Nothing unexpected happens.

In those situations, many tent companies can appear very similar.

It’s when things become complicated that differences start to show.

  • When weather conditions change.
  • When engineering is required.
  • When the inspector arrives.
  • When the site presents unexpected challenges.
  • When a client needs answers quickly.
  • When a problem needs to be solved.
  • That’s when experience becomes incredibly valuable.

The Calls We Never Like Receiving

Over the years, we’ve unfortunately received more than a few calls from clients whose original tent company stopped returning phone calls, failed to show up, or simply couldn’t deliver what was promised.

We genuinely feel terrible for those clients because they’re usually calling us stressed, frustrated, and only days away from their event.

Whenever possible, we do our absolute best to help.

But those situations are also a reminder that choosing a tent company isn’t just about renting equipment. You’re choosing the team that’s responsible for showing up, communicating, solving problems, and helping your event succeed.

That’s difficult to measure on a quote sheet.

The Right Question

Budget matters – we understand that.

Every client has a number they’re trying to work within, and we’re always happy to help people find solutions that make sense for their event!

But when a quote is dramatically lower than everyone else’s, it’s worth asking why.

  • Are you comparing the same products?
  • Are permits included?
  • Are the installation methods the same?
  • Is the company properly insured?
  • Do you feel confident in the team you’re hiring?

Because the goal isn’t finding the cheapest tent.

The goal is finding the right tent company.

After all, all tents look the same…until they don’t.

Looking Beyond the Price

If there’s one thing I hope you take away from this article, it’s that not all tent quotes are created equal. The cheapest quote isn’t always the wrong choice, and the most expensive quote isn’t always the right one. The key is understanding what you’re actually comparing.
