Wedding Tent Rental 101: Everything You Need to Know

There’s something special about a tented wedding. Whether you’re celebrating in your backyard, at a private estate, or at a beautiful outdoor venue, a tent gives you the freedom to create a wedding space that’s entirely your own.
But if you’ve never rented a tent before, you might be wondering where to start. What size do you need? Which style should you choose? And what else needs to fit underneath it?
At Baystate Tent & Party, we’ve been helping couples plan tented weddings throughout New England since 1984. Here’s what you should know before booking your wedding tent rental!
TL;DR: Wedding Tent Rental Essentials
- Start with your guest count: Your seating arrangement and reception layout determine how much space you’ll need.
- Think about your head table: A large wedding party head table takes up more room than a sweetheart table.
- Choose your tent style: Sailcloth, frame, canopy, and clear-top tents each offer different looks and installation requirements.
- Consider your venue: Ground conditions, anchoring space, and access can affect which tents will work.
- Plan for the extras: Tables, chairs, dance floors, bars, lighting, and flooring all factor into your layout and budget.
- Book early: Popular wedding tent sizes and styles can be reserved well in advance.
1. Start With Your Guest Count and Reception Layout
One of the first questions we ask couples is how many guests they’re expecting. But your guest count is only the beginning!
A wedding tent needs to accommodate much more than just your dining tables. You’ll also want to account for your dance floor, DJ or band, bar, buffet or catering stations, and enough room for guests to move comfortably.
For example, a wedding with 150 guests, a seated dinner, and a live band will need a different layout than a 150-person cocktail-style reception.
Before choosing a tent size, think about everything you want underneath it. Even if your guest count isn’t finalized, having a general idea of your layout helps us recommend the right options.

2. Don’t Forget About Your Wedding Party Seating!
Here’s something couples don’t always consider when determining their wedding tent size: Where will your wedding party sit?
If you’re planning a traditional head table with your entire wedding party, you’ll need to account for that additional seating arrangement.
For example, a head table seating 16 people will take up significantly more space than a sweetheart table for just the two of you. And depending on the layout, you may also need additional room behind the head table for chairs, service, and guest circulation.
A sweetheart table can be a great option if you’d prefer a smaller focal point, while a long head table creates a beautiful statement across your reception space.
Neither option is better than the other! It’s simply an important decision to make before finalizing your tent size and floor plan.
3. Choose the Right Wedding Tent Style
Not all wedding tents look or function the same way!
A sailcloth tent offers a romantic, airy look that’s especially popular for outdoor weddings. Frame tents provide flexibility for different layouts and surfaces, while traditional canopy tents can be a beautiful and budget-conscious choice.
Clear-top tents are another option for couples who love the idea of celebrating beneath the sky.
Each style has its own benefits, installation requirements, and price considerations.

4. Make Sure Your Wedding Venue Can Accommodate a Tent
Before falling in love with a particular tent, make sure it will actually work at your location!
Tent installation requires more space than the dimensions of the tent itself. Depending on the style, additional room may be needed for stakes, ropes, or other anchoring equipment.
You’ll also want to consider the ground surface, slope, overhead obstacles, and whether delivery trucks can access the installation area.
For example, sailcloth tents require staking and additional perimeter space, while certain frame tents can be installed on pavement with appropriate ballast.
If you’re planning a backyard wedding or using a venue that doesn’t regularly host tented events, we recommend sharing photos and measurements with your rental company early.

5. Think Beyond the Tent
Once you’ve chosen your tent, it’s time to think about everything going underneath it!
At Baystate Tent & Party, we offer more than just tents. Depending on your wedding, you may also need:
- Tables and chairs for your reception
- Linens to complement your wedding design
- Dance floors and flooring
- Bistro lighting for a warm, romantic atmosphere
- Staging for a band or other entertainment
- Heaters, fans, or sidewalls for guest comfort
These details can have a big impact on both your tent size and overall rental budget.
Our advice? Try to plan your major rentals together rather than choosing a tent first and figuring out everything else afterward.
6. Book Early and Understand Your Rental Budget
Wedding tent rental pricing depends on several factors, including tent size, style, installation location, and any additional equipment you need.
A traditional canopy tent and a luxury sailcloth tent may be the same size, but they’re different products with different pricing and installation requirements.
When comparing quotes, make sure you’re looking at similar tent styles and understand what’s included in the rental price.
And don’t wait too long to book!
Wedding season is a busy time for rental companies throughout New England, especially during the spring, summer, and fall. Once you’ve secured your wedding date and location, we recommend reaching out to discuss your tent options.
You don’t need to have every detail finalized to get started. An estimated guest count, wedding date, and location are usually enough for an initial conversation.
