The honest answer is that it depends on the time of year, what you need, where the event is, and how flexible you can be. At Baystate Tent & Party, we help with last-minute rental requests all the time, but there are a few important things to know before calling.

A graduation party suddenly needs more seating. A backyard party guest list grows. A family decides they want to go all out after all. Or the most common one: the forecast changes and now everyone needs a tent before the weekend.
It happens!
Last-minute party rentals are especially common during graduation season and busy summer weekends. Families are often juggling school events, sports schedules, guests coming from out of town, and multiple parties happening in one weekend. It’s easy for rental needs to change quickly.
The key is reaching out as soon as you know you may need something. Even if we can’t accommodate every request, we can usually tell you pretty quickly what is realistic.
Can You Rent a Tent Last Minute?
Sometimes, yes. A last-minute tent rental may be possible depending on availability, the type of tent needed, the setup surface, and how soon the event is happening.
This is where timing matters.
If the tent needs to be staked into the ground, Dig Safe must be called before setup. Dig Safe is required by law and helps mark underground utilities before stakes go into the ground. We need at least 72 hours before installation to allow for this process.
For weekend events, that means a staked tent needs to be confirmed by Monday at the latest.
If you are already inside the Dig Safe window, there may still be another option. In some cases, we can use a frame tent with alternate staking, such as concrete blocks. This option typically costs more than a standard staked canopy tent, but it can be a helpful solution when timing is tight and availability allows.
That’s why the answer to “Can I rent a tent last minute?” is not always a simple yes or no. We need to look at:
- the event date
- location
- tent size
- setup surface
- current installation schedule

May and June are by far the busiest months for party rentals in New England.
Between:
- graduation parties
- commencements
- backyard celebrations
- school events
- festivals

our weekends book quickly and routes fill fast.
Many clients reserve rentals months in advance, and some larger events book equipment up to a year ahead. During these busy weeks, our crews are often handling multiple installations, deliveries, and pickups every day.
That said, it is still worth reaching out. Depending on the week, we may still be able to help, especially with:

- additions to existing rentals
During the off-season and slower months, last-minute party rentals are generally much easier to accommodate.
Why Flexibility Matters for Last-Minute Rentals

By the time a last-minute request comes in, our delivery and pickup routes are usually already planned. Adding another order is not always as simple as putting it on a truck (and even that isn’t as simple as it sounds!). We have to coordinate inventory, crew schedules, delivery timing and pickup routing.
Being flexible with delivery and pickup windows is honestly the only option in many last minute cases.
It also helps to stay open to alternate rental choices. If one tent style or chair style is unavailable, there may still be another option that works well for your event.

Pickup Orders Are Easier Than Last-Minute Deliveries
If you need tables, chairs, or smaller rental items last minute, pickup orders are always easier to accommodate.
Our warehouse is located in Tewksbury, Massachusetts, and pickup orders can often be more flexible because they do not require the same delivery routing and crew scheduling as full-service deliveries.
Pickup orders work especially well for tables and chairs, smaller tents, and other accessories.
If you are able to pick up and return items yourself, there may be more availability for last-minute requests.
What Information Should You Have Ready?
One of the best ways to improve your chances of getting a last-minute rental is being prepared when you call.
Before reaching out, it is important to know:
- event date
- delivery address
- guest count
- rental items needed
- measurements of the setup space
- surface type (grass, driveway, patio, pavement, etc.)
- any access limitations

If you already have a delivery scheduled with us, adding a few extra tables or chairs is often manageable depending on inventory. Larger additions, specialty items, and linens may still require additional notice, but smaller updates are usually much easier to accommodate. A completely new last-minute order requires more coordination.
