Fall is the perfect time to host an outdoor event. The temperatures are not too hot and not too cold, the scenery is picturesque, and there’s no shortage of theme ideas! Throwing an outdoor event is a great way to gather people together to have a good time, but it’s no easy task. Follow this checklist to make sure you’ve got everything you need to host a successful outdoor event this fall.
Tent
Tents for outdoor events can be rented in a variety of sizes. Make sure you get a tent that’s able to hold your full guest capacity and then some, in case a few unexpected “plus one’s” decide to show up. You’ll want enough space for people to walk, mingle, and dance around inside the tent. Calculate in the room that will be left once everything is set up inside the tent before you choose a size.
Table and Chairs
Next, you’ll need to find a table and chairs. These can also be rented, you can purchase them, or borrow them from people you know who have had events recently. Renting is the best choice because you’ll be able to choose the exact style of table and chairs to match the aesthetic of your event. Purchasing tables and chairs for an event isn’t a good idea because more than likely they’ll just become dust collectors in storage once your event has passed.
Generator
An outdoor event is missing one thing that an indoor event always has – access to electricity! Use a generator to run your event inside the tent. Your lights, music, and decorations will all need power. Talk to an expert to ensure you’re using a generator large enough to support the event you have planned.
Heater
The weather is unpredictable this time of year and just because it’s an outdoor event, doesn’t mean guests should be cold! Rent a heater (or multiple) to control the temperature inside the tent. It’s smart to have the company you rent the heater from come and set it up for you to make sure there’s no safety risk.
Flooring
An outdoor event doesn’t mean your guests should be walking on the grass all night! Look at different types of flooring that can be used inside the tent to create a stable place to walk, dance, and sit. You can choose a variety of colors and styles to match the other décor you have in mind. Don’t cheap out when it comes to flooring for your event, because it’s sure to be noticed by your guests.
Give yourself plenty of time to plan and set up your event before guests are due to arrive. Send out invites, count RSVP’s, and get ready for a great time! Your guests will be impressed with all the work and attention to detail you put in.
