Corporate Event Rental Guide: From Company Picnics to Formal Galas
Corporate events come in just about every form.
One week, we’re setting up a tent, tables and chairs in a company parking lot for an employee appreciation lunch. The next, it’s upgraded linens, lighting and staging for a formal gala. We also work on holiday parties, conferences, networking events, company anniversaries, ribbon cuttings, classes, meet-and-greets and plenty in between.
The good news? Corporate event rentals are usually pretty straightforward.
The basics tend to stay the same. You need the right space, enough seating, a functional layout and the equipment to make the event work. From there, rentals can be kept simple or upgraded depending on the type of event you’re planning.
At Baystate Tent & Party, we provide corporate event rentals throughout Massachusetts and New Hampshire for everything from casual employee events to large company celebrations.

TL;DR: Corporate Event Rentals
- Start with the basics: tent, tables, chairs and lighting.
- Add linens, upgraded chairs, staging and other rentals based on the event.
- Think about power early, especially for events held outside or in parking lots.
- Share delivery and setup restrictions with your rental company from the beginning.
- Plan ahead when possible—we recommend starting the conversation at least 1–2 months before your event.
What Rentals Do You Need for a Corporate Event?
For most corporate events, the rental list isn’t overly complicated.
Some of the most common corporate event rentals we provide include:
From there, it depends on the event.
A casual employee appreciation lunch may need a tent, basic seating and tables for food service. A gala or company anniversary may use many of those same rentals but upgrade the chairs and linens or add more lighting to give the space a more finished look.
That’s one of the nice things about corporate rentals: the bones of the event can stay relatively simple, and you can upgrade where it makes sense.

What Types of Corporate Events Does Baystate Work With?
We work with companies throughout Massachusetts and New Hampshire on events including employee appreciation days, company picnics, holiday parties, galas, conferences, networking events, anniversaries, ribbon cuttings, classes and teaching events, and meet-and-greets.
We’ve also worked with companies including Nova Biomedical, Lockheed Martin, Eastern Salt, EBSCO, Fidelity, State Garden, SoulCycle and Tree House Brewing Company, with many returning year after year for recurring events.
Some clients come directly to us. Other times, we’re working with their event planner or caterer. Either way, our role is pretty simple: figure out what you need, work through the logistics and get everything where it needs to be.

Where Can You Host a Corporate Event?
You don’t necessarily need an event venue.
In fact, the majority of the corporate events we work on are set up right at the company’s property, often in a parking lot.
We’ve also installed rentals in warehouses and even at an owner’s home.
Turning an existing property into an event space can make a lot of sense for company events, but it also makes logistics important. We need to know where the tent is going, how it will be anchored, how our trucks and crew can access the site and when we’re allowed to set up.
A parking lot may look simple, but it’s still worth working through those details ahead of time.
Corporate Event Setup Can Have a Tight Timeline
This is one area where corporate events can actually be trickier than weddings.
The rental order itself may be simple, but the delivery and installation window isn’t always.
We’re often working on an active company property or public space. There may be employees coming and going, restrictions on when an area can be closed, security requirements or a same-day setup window.
That makes communication really important.
If your tent needs to be completely installed between 7:00 and 11:00 AM because employees need the parking lot until then, we need to know that during the planning process—not when the crew arrives.
Our team handles these types of installations regularly, so we can plan the crew and delivery around the requirements of the site.

Don’t Forget About Power
If there’s one thing we see overlooked at corporate events, it’s power.
Lighting, catering equipment, entertainment and other vendors may all need electricity. If you’re hosting the event in a parking lot or another temporary event space, don’t assume there will be adequate power nearby.
Baystate does not provide generators, so this is something you’ll want to coordinate separately. We regularly recommend companies such as Sunbelt Rentals, United Rentals and Herc Rentals for generator needs.
It’s also worth checking with your caterer, DJ, AV company and other vendors to understand their requirements before the event.
How Far in Advance Should You Book Corporate Event Rentals?
We recommend reaching out at least one to two months before your event when possible.
Corporate events don’t always get planned a year in advance—and that’s completely normal. We receive plenty of shorter-notice requests and will always do our best to accommodate them.
But earlier is better, particularly if your event requires a tent.
Giving us a little lead time allows us to confirm inventory, work through the site logistics and pull the necessary tent permit without making everything a last-minute rush.

What Makes Corporate Event Rentals Easy?
Experience.
For the person planning the event, this may be one of ten things on their plate that week. For us, setting up tents and rentals is what we do every day!
You shouldn’t have to spend your time chasing your rental company, wondering when they’re arriving or trying to figure out every technical detail yourself.
We know what questions to ask, we communicate throughout the process, and we know how to work efficiently when setup windows are tight.
The easier we make our part of the event, the easier your job becomes.
