Festival Event Rentals: What Goes Into Building a Festival Site?

Twenty vendor tents. Eighty vendor tents. One massive tent. Staging, tables and chairs spread across a city plaza. Every festival looks a little different—and that’s a big part of what makes these events so fun to work on!

At Baystate Tent & Party, festival event rentals are a major part of what we do. We work with food festivals, cultural festivals, music festivals, schools and universities, fundraising walks and runs, community celebrations and large public events throughout Massachusetts and New England.

Festivals have a lot of moving pieces, especially when you’re working with dozens of vendors, public spaces, street closures, permitting and specific setup windows. For our team, this is familiar territory. We’ve been doing these events for years, and we know how much planning happens behind the scenes to make sure everything is ready when the gates open.

So, what actually goes into the rental side of building a festival site? Let’s get into it!

TL;DR: Festival Event Rentals

  • Plan early. Large festivals should ideally reach out for rentals 9–12 months ahead.
  • Have a site map. It keeps large installations organized and efficient.
  • Know your surface. Staking vs. ballasting affects pricing and logistics.
  • Share your timeline. Setup and breakdown windows matter—a lot.
  • Expect counts to change. Vendor tents and tables are commonly adjusted.
  • Work with an experienced team. Large festival installations require the inventory, crews and logistics to match.

What Festival Event Rentals Do You Need?

There isn’t one standard festival rental order because there isn’t one standard type of festival.

For many of the festivals we work on, 10′ x 10′ vendor tents make up a large portion of the site. It’s common for us to install anywhere from 20 – 80 of them for vendors, restaurants, sponsors, organizations and other participants.

From there, festival event rentals may include larger event tents, food service tents, registration areas, VIP tents, first aid tents, information tents, tables, chairs, staging and other rentals specific to the event.

Some festivals don’t need dozens of smaller tents at all. They may be centered around one large tent. Others have a large main tent plus rows of smaller vendor tents throughout the property.

It really depends on the event, which is why understanding the full site is so important from the beginning!

What Types of Festivals Does Baystate Tent Work With?

One of the benefits of doing this for as long as we have is that we’ve seen a LOT of different festival setups.

Baystate has provided festival event rentals for events including Boston Local Food Festival, Phantom Gourmet Food Fest, Pizza Fest, JerkFest, Spicetoberfest, FESTA, BAMS Fest, Panda Fest, Asian American Festival, IGBO Festival and Greek festivals throughout New England, just to name a few!

We also work with schools and universities on events like Regis Fest and MIT Future Fest.

Fundraising events are another large part of our festival and large-event work. We provide tents and rentals for walks, runs and rides supporting causes including Alzheimer’s, MS, epilepsy, cancer research, hunger relief, suicide prevention and many others.

Every event looks different when it’s finished. From our side, the starting point is pretty consistent: understand the site, understand the rental needs and understand the timeline.

Why Is a Site Map Important for Festival Event Rentals?

For a large festival installation, the site map is one of the most important pieces of information we receive.

The event organizer or planner typically creates the overall site layout and sends us a map showing where tents, staging and other rentals need to be installed. We’re always happy to help with rental sizing and layout questions, and we can perform a site visit when needed, but the organizer is ultimately responsible for determining how they want the overall festival site to function.

Once installation begins, that map helps our crew see the full picture.

If we’re installing 60 tents throughout a park, downtown area or college campus, we want to know exactly where those tents are going before our trucks arrive.

A detailed site map allows our operations team to plan ahead and helps our installation crews work efficiently once they’re onsite.

For a new festival or unfamiliar location, we may also recommend a site visit so we can look at access, surfaces, tent locations and any potential installation considerations ahead of time.

How Are Large Festival Tent Installations Set Up?

It depends on the size and layout of the event.

For a festival with a large number of tents spread throughout the site, we may send multiple crews to work simultaneously. One crew can be installing one section while another works elsewhere on the property.

If the festival is centered around one larger tent, we may instead have one crew dedicated to that installation.

Most of our festival installations are completed within one day. Our operations team looks at the festival event rental order, site requirements and available setup window ahead of time and determines the crew needed to complete the installation.

That’s why it’s so important for us to know about setup restrictions early.

Festivals frequently involve street closures or public spaces that aren’t available to us all day. If we can’t access a street until a certain time and everything needs to be installed a few hours later, we need to know that while we’re planning the job.

We’ll also be upfront if an installation window isn’t physically possible. Certain tents and installations require a certain amount of time to be installed safely. An 80′ x 140′ tent, for example, can’t be installed in 30 minutes.

Give us the timeline early, and we can work with you to determine what is realistic and make a plan from there.

It’s also very helpful to have the festival organizer or another knowledgeable contact onsite during installation. Most questions have already been answered by that point, but if something unexpected comes up, having someone available keeps everything moving.

Can Festival Tents Be Staked, or Do They Need Ballast?

This is one of the most important questions to answer when planning festival tent rentals.

And something that isn’t always obvious: grass does not automatically mean we can stake.

A city park or other public property may have underground utilities or restrictions that prohibit staking even when the entire installation is on grass. Festivals held on streets, plazas and parking lots may also require ballasted tents.

We need to know the anchoring requirements from the beginning because they affect both the logistics of the installation and the price.

There is a big difference between arriving with 50 10′ x 10′ tents that can be staked and arriving with 50 tents that each require ballast. The equipment, trucks and labor needed for those installations can be very different.

When staking is permitted, Baystate coordinates DigSafe as part of our process.

The earlier we understand the site requirements, the better we can plan for them.

Who Handles Festival Tent Permits?

Baystate handles the tent permits for our installations. The overall festival or event permit is the responsibility of the event organizer.

We’re also diligent about making sure the appropriate tent safety items are included on the rental order when required, such as fire extinguishers, exit signs and other code-related items.

This is particularly helpful for someone planning a festival for the first time. You may know exactly how many vendors are coming and where you want everything to go, but you may not know what the local fire department requires for a particular tent installation.

We deal with these requirements regularly and make sure our portion of the event is handled properly.

Some municipalities may also require architectural or engineered drawings for certain tent installations. This comes up particularly with some City of Boston projects. Baystate does not provide architectural drawings directly, but if they’re required, we can help connect you with an architect who does.

The important distinction is that tent permits and event permits are two different things. We’ll handle the tent permitting for our equipment while the organizer handles permitting for the festival itself.

What Should You Know About Festival Rentals in Boston and Public Spaces?

Installing festival event rentals in a public space can look very different from installing on private property.

Baystate has extensive experience working throughout the City of Boston, including locations such as City Hall Plaza and the Rose Kennedy Greenway.

Public spaces can have very specific access requirements, road closures, installation times and anchoring restrictions. Sometimes the biggest logistical question isn’t how we’re going to install the tents—it’s how and when we’re getting our trucks to the installation area. This is something our team is used to planning around!

When we know the requirements ahead of time, we can plan our crews, trucks and equipment around the access we’re being given.

What Does Baystate Handle for Festival Event Rentals?

Large festivals usually involve several different companies, so it’s important to establish who is responsible for each part of the event.

Baystate provides festival tents and event rentals, including tables, chairs, staging and other rental equipment. We handle our tent permits and DigSafe, help with rental layout questions and can conduct a site visit when needed.

There are some services we don’t provide. Baystate does not provide generators or event power, trash removal, sound or AV services, or stage production. We can provide the physical staging, but sound, lighting and production equipment are handled separately.

The festival organizer is also responsible for the overall event permit and site plan.

We like to make those distinctions clear from the beginning so everyone involved knows exactly what they’re responsible for and there aren’t any surprises as the event gets closer.

Do Festival Rental Counts Change Before the Event?

Absolutely—especially vendor counts.

An organizer may initially need 45 vendor tents, then add a few more vendors, lose one, add several tables somewhere else or adjust the layout as plans are finalized.

That’s a normal part of festival planning.

We have a large inventory, which gives us flexibility when clients need to make changes, and we’ll always do our best to accommodate additional festival event rentals when we have the equipment available.

The best approach is to give us the most accurate information you have when you book and keep us updated as things change.

How Far in Advance Should You Book Festival Event Rentals?

For festivals requiring a large quantity of tents and rentals, we recommend contacting Baystate approximately 9–12 months in advance when possible.

This is especially important for events taking place during June and September, which are two particularly busy festival months for us.

The biggest consideration is inventory. A festival needing 40, 60 or 80 tents requires a significant amount of equipment, and those quantities can book up quickly during our busiest months. Booking early gives you the best chance of securing the tents and rentals you need for your event and also gives us plenty of time to plan the installation.

We absolutely accommodate shorter-notice events when inventory allows, but if you already know the date of your annual festival, there’s no reason to wait. Getting your festival event rentals reserved early gives you one less thing to worry about as the rest of the event comes together.

What Information Do You Need for a Festival Event Rental Quote?

You don’t need to have every detail finalized before you contact us. Festival plans evolve, and vendor counts often aren’t final until much later.

To get started, it’s helpful to send us:

  • Event date and location
  • Setup and breakdown requirements
  • Estimated number and sizes of tents
  • Approximate table and chair quantities
  • Information about the installation surface and whether staking is permitted
  • A site map, if one is already available

From there, we can work through the rental side of the event with you.

If there are questions about the property, anchoring or access, we can determine whether a site visit makes sense. If you’re unsure about tent sizing or rental quantities, we can help with those questions too.

The goal is to get the major pieces in place early and continue refining the order as the festival gets closer.

Why Does Experience Matter When Choosing a Festival Event Rental Company?

A large inventory is important for festivals. But inventory alone doesn’t get 60 tents installed across a city, park or college campus before the event opens.

You also need enough crew members to complete the installation, an operations team that understands the site requirements and experience working within strict setup and breakdown windows.

That’s where years of doing these events really matters.

Our team has worked on festival sites of all sizes throughout Massachusetts and New England. We know that the installation may involve multiple crews, street closures, ballasted tents, public spaces, last-minute count changes or a very specific window when our trucks are allowed onsite.

None of that is unusual for us. It’s part of festival work!

By the time attendees arrive, the tents should simply be there. The tables are in place, the stage is ready and vendors can focus on getting their own spaces set up.

That’s our part of building the festival site.
