Tent installation week is when your event starts to feel real. Whether you’re planning a backyard graduation party, a corporate event, or your dream wedding, it’s natural to wonder what happens next. When will the crew arrive? Do you need to be home? How long does tent installation take? Is there anything you should do before we get there?

At Baystate Tent & Party, we know installation week can bring a mix of excitement and last-minute questions. Here’s what to expect during tent installation week so you can feel prepared, confident, and ready for your event.

  • Standard weekend events are typically delivered on Wednesday, Thursday, or Friday before your event.
  • Weddings are usually installed earlier in the week whenever possible.
  • Most standard tent installations are completed in one day.
  • Structure tents and large festivals can require two days to install.
  • Before we arrive, mow the lawn, clear the installation area, and mark any underground lines.
  • Someone doesn’t always need to be home, but it’s recommended.
  • Our crew will call when they’re on the way.
  • Before we leave, you’ll review and sign off on your order.

When Will My Tent Be Delivered?

One of the most common questions we receive is “When will my tent be delivered?”

Approximately 4–7 days before your event, our Dispatch Team will send you an email confirming your scheduled delivery date and reviewing the logistics for your installation. This email helps ensure everyone is on the same page before installation week begins.

We’ll confirm details such as:

  • Your scheduled delivery date
  • Your primary contact person
  • The installation location on your property
  • Any layouts or setup instructions (especially for table and chair setups or larger festivals)
  • Any important notes our crew should know before arriving

For most standard weekend events, we offer flexible delivery, which means your tent and rental items will typically be delivered on Wednesday, Thursday, or Friday before your event. Most standard tent installations are completed in a single day.

For weddings, we do our best to install earlier in the week—typically Wednesday or Thursday. We know there’s often a lot that happens after the tent is installed, including florals, lighting, catering, and other vendor setup. Installing earlier gives everyone more time to prepare before the celebration begins.

Larger structure tents are a little different. Because of their size and complexity, installation often takes two days, depending on the build.

Understanding Flexible Delivery

When you reserve with flexible delivery, you’re allowing our Dispatch Team to build the most efficient delivery routes for the week. This helps us serve hundreds of events throughout our busiest season while keeping installations on schedule.

If you know you’ll need your rental delivered on a specific day, please let us know as early as possible—ideally when you book your event. While we’ll always do our best to accommodate special requests, changes made close to your event or during installation week may not be possible, especially during our busiest months of May, June, August, September, and October.

If a specific delivery date is critical for your event, the earlier we know, the better we can plan.

How to Prepare Your Property Before Tent Installation

A little preparation goes a long way toward making installation smooth and efficient.

Before our crew arrives, we recommend that you:

  • Mow the lawn.
  • Pick up any toys, lawn furniture, or other items in the installation area.
  • Clean up after pets.
  • Mark sprinkler heads, irrigation lines, or anything underground you’d like us to avoid.
  • Make sure our crew has clear access to the installation site.

The less time we spend moving obstacles, the more time we can spend getting your event ready!

Do I Need to Be Home During Tent Installation?

We recommend having someone home during your tent installation whenever possible. While it isn’t always required, having someone available helps ensure everything is installed exactly where you want it. Confirming the location in person helps avoid issues like a tent being placed in the wrong area of the property or rental items being set up somewhere other than you intended.

For simple deliveries—such as a backyard table and chair drop-off—you don’t necessarily need to be home. However, for tent installations, weddings, or larger events, we strongly encourage having someone onsite when our crew arrives.

If you can’t be home, just let our Dispatch Team know ahead of time. We’ll send you a Not Home Waiver, which gives us permission to access your property and allows you to provide detailed instructions on where your tent and rental items should be installed.

What Happens on Tent Installation Day?

Before arriving, our crew will give you a call when they’re leaving the warehouse or their previous stop so you have an idea of when to expect them.

Once they arrive, they’ll:

  1. Confirm the installation location.
  2. Unload the equipment.
  3. Begin setting up your tent and rental items.
  4. Complete the installation and review the order with you before leaving.

Every installation starts from the ground up, so don’t be surprised if it seems like things move slowly at first. Building a tent is a process, and larger events naturally take more time than many people expect!

How Long Does Tent Installation Take?

Every event is different, but most standard tent installations are completed within a few hours to a full day.

Larger weddings often take longer simply because there’s more involved. Bigger tents, flooring, lighting, staging, and additional rental items all add to the installation timeline.

Structure tents typically require multiple days to complete.

Our goal isn’t to finish as quickly as possible—it’s to make sure everything is installed safely, correctly, and ready for your event.

What Happens if It Rains During Tent Installation?

Our crews work in rain or shine, so light rain usually won’t affect your installation. That said, severe weather can slow things down. Heavy rain and extreme heat may extend installation times, while high winds can sometimes require us to temporarily pause work until conditions are safe.

If weather impacts your installation schedule, we’ll keep you informed every step of the way!

What to Check Before Our Crew Leaves

Before our crew leaves, we’ll review the order with you and ask you to sign the delivery receipt. Please take a few minutes to confirm that you’ve received all of your rental items and that everything has been installed in the correct location. If anything doesn’t look right, let our crew know before they leave so we can address it immediately.

Tips for a Smooth Tent Installation

Communication is just as important. If anything changes leading up to your event—whether it’s a new layout, construction on the property, or access restrictions—let us know as soon as possible. We also ask that you notify us ahead of time if your property includes stairs, steep hills, gravel or pebble walkways, sand, or any other site conditions that could affect delivery or installation. Knowing about these conditions in advance allows us to plan accordingly and send the appropriate crew and equipment.

Most importantly, trust the process. Watching a tent go up from the ground can take longer than many people expect, but every step is part of creating a safe, secure, and beautiful setup for your event.
